Q: What is a Flow in the LMS integration? A: A Flow is the only Groups object that is fully integrated with Learn. Flows can be added to course content and are used to schedule and run live sessions for learners. The same Flow can be reused multiple times — each reuse appears as a new Session in the Groups menu.
Q: What is a Room and should instructors use it? A: A Room exists only in the Groups admin interface and is not fully integrated with Learn. Rooms cannot be added to course content and are not recommended for instructors at this time.
Q: Which object should instructors use to schedule live sessions in a course? A: Instructors should use Flows only when scheduling and running live sessions through Learn.
Adding Flows to a Course
Q: How is a Flow created when using Learn? A: When an instructor adds a Groups activity to a course, Learn automatically creates a Flow for that activity.
Q: Can instructors rename a Flow in Learn? A: No. Flow names cannot be changed directly in Learn. However, renaming the Flow in the Groups menu will update the name in Learn as well.
File Sharing and Student Access
Q: Are files uploaded during a live session automatically available to students later? A: No. Files uploaded inside a Flow are stored in Groups file storage and are only accessible during the live session itself.
Q: How should instructors share files with learners for later access? A: Instructors must upload files separately to the course content, outside the Flow activity.
Recordings and Learner Access
Q: How are recordings handled in a Flow? A: A single Flow can contain multiple sessions, each with its own recording. The recording runs for the full duration of the session, including any extensions, unless the instructor manually stops it.
Q: How do learners access session recordings? A: Learners open the course content and navigate to the activity where the Flow is placed. All recordings for that Flow are available there.
Q: Why can recordings be confusing for learners? A: All recordings for the same Flow appear under the same activity name without a visible session date, making it difficult to distinguish between sessions.
Q: What is the recommended workaround for managing multiple recordings? A: Use one generic Flow (for example, "Live Sessions") for the entire term instead of creating separate weekly Flows. This keeps all recordings in one predictable place.
Scheduling and Session Timing
Q: Why is selecting a term required when scheduling a Flow? A: If no term is selected, students are not affected by the Flow and will not be able to join the live session.
Q: Which settings control when a live session is available? A: The session timing is controlled by the Start From and Due Date fields in Learn. Both fields must be set — if either is missing, the session will not be accessible to students.
Q: Can instructors extend a session if time runs out? A: Yes. Instructors receive a warning 10 minutes before the scheduled end and can extend the session by 10, 30, or 60 minutes. Extensions can be applied an unlimited number of times.
Q: Does the Due Date need to be updated after a session is extended? A: No. The Due Date does not need to be modified after extending a session.
"I'm Here" Random Check-In
Q: What is the "I'm Here" feature? A: It is a random check-in prompt — called "Think Fast" in the system — that asks participants to confirm their presence during a live session.
